Transitioning From Paper to Electronic Fire Watch Logs

Electronic Fire Log and Patrol

Key points:

  • Why paper fire watch logs are no longer compliant in Denver.
  • Why digital fire monitoring app data holds up better in court.
  • The features and benefits of using compliant monitoring apps.

The next time your apartment building or business requires fire monitoring, you’ll need to use electronic logs. Electronic fire watch logs went into effect on December 31, 2025. Beyond complying with the Denver Fire Department, most insurance companies require GPS-based monitoring.

Digital fire watch supports the increasing expectation for transparent patrolling. Paper logs decreasingly hold up in court, because there is no way to verify when they were filled out. Paper logs can also be lost or crumbled during emergency evacuation. A phone or tablet is easier to keep track of when an incident occurs, and even if it’s lost, patrol data and activity is saved in the cloud.

How Digital Fire Monitoring Works?

Digital monitoring takes proof of compliance to the next level. Instead of printing out paper forms, you download a mobile app. There is a range of compliant software to choose from, but they offer similar features and functions.

Most apps provide:

  • GPS or QR codes: With GPS, the patrol route is traceable in real-time, and checkpoints are time-stamped. Some systems utilize QR codes that must be scanned at designated checkpoints.
  • Biometric verification: Fingerprint, iris, or facial recognition is used to verify your certified monitor.
  • Real-time monitor tracking: Track where each member of the team is, which is extremely beneficial if an incident arises. Some systems allow the Fire Marshal or a designated third-party to monitor in real-time.
  • Real-time hazard/incident reporting: Capture patrol notes, photos, and videos, and automatically alert the fire department if an incident arises.
  • Automates alerts: Sends site-specific push notifications. If an incident occurs, it immediately alerts the entire fire guard team.
  • Easily accessible: View in-app patrol routes and share PDF logs, routes, photos, or videos. Data is stored in the cloud and is compliant with the Fire Marshal, wildfire risk protocols, insurance policies, NFPA standards, and OSHA regulations.
  • Tamper-proof: Electronic fire watch logs are tamper-proof and stored in the cloud. There is no way to “log” a patrol after the fact or from off-site locations or other areas of the building.

What if the Internet Is Down During Electronic Fire Watch Monitoring?

Mobile device local cache saves all photos, notes, and data, and uploads them to the cloud when connectivity is restored. GPS chips continue to work independently of the internet. Push notifications may not send, and the real-time monitor location may not be accessible when the internet is down.

QR code systems are ideal for locations with dead zones or no internet, as they don’t require internet for logging checkpoints.

Can You Ever Use Paper Fire Monitoring Logs?

Only when systems are 100% down. Keep paper logs on site in case the app goes down or your mobile device fails.

How Accurate Is Fire Monitoring GPS?

Most apps track the location of certified monitors within 15 feet of their real-time location.

How to Determine Where to Place QR Code Checkpoints?

The number and placement of checkpoints vary by property or facility type. You’ll need at least 1 on each floor, often at “blind spots” such as stairwells. Whether your building is more likely to require 15-minute or 30-minute patrolling influences the number of checkpoints. Ensure your emergency response plan includes your patrol route, checkpoints, and most likely patrol frequencies.
